Chatbot vs contact form: when a conversation wins.
A contact form asks for details before it gives anything back. A chatbot can answer the visitor's question first, then collect the same details in the chat. That helps on some pages and adds nothing on others. Here's how to choose.

The moments a contact form can't handle.
Each conversation shows something a static form would miss and what ZynfoAI did instead.
Do you remove the old kitchen too, or is that extra?
Good. Can I get a quote then?
- Answered from your what's-included page.
- Showed the in-chat form once the visitor asked for a quote.
- Saved the lead and synced it to Freshsales.
Do you cover Bristol?
- Searched your trained sources for Bristol and service area.
- Answered from your areas page.
- Didn't ask for details, so no unqualified lead reached your team.
How long does a typical install take?
- Answered from your project guide PDF.
- Followed your instruction to offer a quote only when asked.
We're knocking through a wall to make an open-plan kitchen. Can you help with that?

Replace your contact form, or sit beside it.
Add your website and price guides as sources, choose the fields for your in-chat form, and paste one script tag. Your existing form can stay on the page.

Chatbot or contact form: how to decide
What each one does well
This is the short version of a question every lead generation chatbot has to answer: is a chat actually better than the form you already have? A contact form is quick to build, predictable and easy to fill in when the visitor already knows what they want. A chatbot is useful when they don’t yet, when they have a question that decides whether they get in touch at all. On those pages, a form asks for details before giving anything back, and a chat can answer first.
| Contact form | AI chatbot | |
|---|---|---|
| Answers questions first | No | Yes, from your trained sources |
| Collects contact details | Yes | Yes, with an in-chat form |
| Saves the visitor’s questions | No | Yes, the conversation is kept with the lead |
| Works outside office hours | Collects only | Answers and collects |
| Setup effort | Low | Add sources, write instructions, test |
| Best for | Callbacks, sign-ups, known requests | Pricing, fit and “do you do X” questions |
When a simple form is still fine
Keep the form if the request is already clear: a callback, a newsletter, a brochure download, a job application. A chatbot adds a step there without adding anything useful. The same goes for pages with little traffic or few questions. If nobody asks anything before contacting you, there’s nothing for the chat to answer.
Whichever you choose, ask for less. Nielsen Norman Group’s form usability guidance is blunt about it: cut every field you don’t need. That applies to the form inside a chat too.
A chatbot also needs looking after. Its answers come from the sources you add, so when your prices or service area change, you update the page and click Resync. A form has no content to keep current.
Running a fair test
Pick one page where visitors clearly hesitate, like a pricing or quote page, and add the widget without removing the form. Keep the in-chat form to the same fields as your existing form, or fewer. Tell the agent in its instructions to answer first and offer the form only when the visitor asks for a quote or a call back.
After a few weeks, compare the leads from each: how many, and how many your team could act on. Read the conversations too. Unanswered Questions shows what visitors wanted to know that your page didn’t say, which is worth fixing whichever option you keep.
If the test favours chat, the lead generation chatbot guide covers qualification, handoff and CRM sync. For a longer comparison with the questions to ask before you switch, read static web forms vs conversational AI for lead capture.

Which converts better, a static web form or a conversational AI agent?
It depends on the page. On pages where visitors have a question before they get in touch, like pricing, quotes or service areas, a chat that answers first usually gets more people talking to you. For a callback request or a newsletter, a short form is just as good and simpler. Test both on one page with the same fields.
How do I integrate forms and chatbots to capture website leads?
Keep your form and add the chat widget beside it. Ask the same fields, or fewer, in the in-chat form, and send both to the same CRM so your team works one list. ZynfoAI syncs chat leads to Freshsales when they're created.
How do I connect a chatbot to my CRM so leads arrive automatically?
In ZynfoAI, connect Freshsales under Integrations. Each lead saved in the chat syncs when it's created, with its source, interest and the conversation. CRM integrations are included on the Professional and Enterprise plans.
Can I keep my contact form and add an AI chatbot?
Yes. The chatbot is one script tag and doesn't replace anything on the page. Many teams keep the form for visitors who already know what they want and let the chat handle the ones with questions.
